The Ultimate Guide to Managing Your AvPay Vendor Account!
Welcome to your AvPay Command Center. This guide provides a detailed walkthrough of how to use the Venue Manager area to manage your listings, track your performance and optimize your professional profile for maximum impact. To get started log in to your account, if your aren’t automatically redirected to the venue manger you can find find the link here in the my account section.

1. Navigating Your Dashboard in Venue Manager
Once you have registered and created your profile, the Venue Manager is your starting point. This is the “brain” of your vendor account.

The Home Screen: This is where you stay informed. It centralizes all notifications, including membership status changes and enquiries.
Managing Enquiries: While AvPay sends you an automated email the moment a lead comes in, you may use the dashboard to manage the conversation. By clicking on an enquiry within the Home screen, you can view the full details and reply directly to the customer, keeping all your professional communications organized in one place. You may also take the enquiry off-platform if you wish by using the contact details from the enquiry to use in your own communication software.
2. Managing Your Inventory (Product Listings)
The Product Listings section is where you monitor your listings.

- Performance Metrics: For every listing, you can see real-time data on Views (how many people clicked your product) and Impressions (how many times your product was viewed in the marketplace and product lists like categories, manufacturer, aircraft type and search results to name but a few). Impression data has only been active since mid-November 2025.
- The Edit Suite: If you need to update flight hours, add new images, adjust the price or refresh your description, simply click the Edit button.
- Archive vs. Draft:
- Archive: Use this to remove a listing from your backend entirely.
- Save as Draft: This hides the listing from the public and your profile but keeps all the data saved. You can “Publish” it again at any time with one click.
- Subscription Slots: Your dashboard displays your available “Slots” at the top. This represents how many active aircraft you can advertise based on your membership level.
- Note: “Wanted” and “Sold/Withdrawn” listings do not count towards your slots.
3. Mastering the Product Builder: Creating High-Impact Listings
When you are ready to add a new aircraft, service or product, the Product Builder ensures your listing looks professional and contains the data buyers need.

The Product Builder is the engine of your AvPay profile. This is where you bring your aircraft inventory, company services and aviation products to life. To ensure your listings perform at their best, we recommend a “quality-first” approach: work through each field methodically and provide as much technical and narrative detail as possible. A data-rich listing doesn’t just look professional, it builds immediate trust with the buyer and significantly increases the likelihood of an enquiry.
Aircraft Listings: For Sale, Auction, Lease & Shares
The Aircraft Listing form is our most detailed entry method. Because buyers in this category require high levels of technical data, it is vital to complete every field accurately to ensure your aircraft ranks well in filtered searches.

Product Title – Naming Convention
To maintain a professional and searchable marketplace, all aircraft titles must follow this specific format:
[Year] [Manufacturer] [Model] For Sale In [Location], [Country] & ([Registration Number])
Example: 2025 Cessna 182T Skylane For Sale In Florida, USA (N358CB)
General Information & Descriptions
- Short Description: Provide a concise “snapshot” of the aircraft’s main selling features (e.g., engine times, recent upgrades or ownership history). Note: Aim for 40–50 words to ensure the text fits perfectly in the marketplace preview.
- Main Description: This is your technical deep dive. For the best results, organize your text into the following sections:
- Airframe & Performance
- Avionics & Additional Equipment
- Engine & Propeller details
- Maintenance & Inspections history
- Interior & Exterior condition/styling
- Upgrades & Key Features
Mandatory Aircraft Attributes
These fields power our advanced search filters. If these are left blank, your aircraft may not appear when a buyer filters by “Manufacturer,” “Seats,” “Condition” or “Year.” Please ensure you provide:
- Manufacturer & Model: (e.g., Piper, M600)
- Aircraft Type & Condition: (e.g., Turboprop, Pre-Owned)
- Configuration: Number of Seats and current Location.
- Technical Data: Year of Manufacture, Total Time (TT), Registration Number, and Serial Number.
Pricing & Currency
AvPay offers flexible pricing display options to suit your sales strategy: (leave all pricing fields empty if you do not wish to add a price, the system will automatically add Enquire).
- Currency: Select the currency the aircraft is being traded in.
- Aircraft Price: Enter the numerical value.
- Aircraft Price Text: Use this field for additional context, such as “Make Offer,” “Excl. VAT,” “Negotiable,” or “Subject to Prior Sale.”
- Price Range: Helps categorize the aircraft for users searching within specific budget brackets.
Visuals & Status Banners
- Images: Upload a high-resolution Featured Image (Side profile or 3/4 front view recommended) and a comprehensive Gallery showing the cockpit, engine bay, and cabin.
- Special Status Banners: You can add visual flags to your listings to grab attention:
- Price Reduced: Can be added to any live listing to signal a new valuation.
- Sold / Withdrawn: These banners can be applied to your listings to keep your profile active with a “proven track record” without misleading active buyers.
Pro Tip: Listings with a specified “Price,” “Registration Number” and “Total Time” receive significantly higher engagement than those with “NA” or missing data. Transparency sells aircraft faster.
All Other Listings
For vendors offering other services such as flight training, brokerage services, software or aviation experiences, the Standard Listing form is designed to be intuitive yet detailed. Use this form for any listing that is not a specific aircraft for sale/auction/lease. The following form will show once you select the category.

Layered Category Selection
To ensure your listing appears in the correct section of the AvPay marketplace, our category selection is “layered.” This means your choices will trigger specific sub-menus:
- Primary Category: Start by selecting a broad heading, such as “Clubs, Training & Equipment” or “Experiences & Services.”
- Sub-Category Dropdown: Once a primary category is chosen, a new dropdown will appear labeled “Please select a sub-category.”
- Niche Targeting: Depending on your choice, further dropdowns may appear to help you pinpoint exactly where your service belongs (e.g., Experiences & Services > Aviation Services > Aviation Legal Services).
Title & Descriptions
- Product Title: Create a professional name for your service or product. Avoid using all caps; instead, use a title that clearly states what you are offering.
- Short Description (The “Hook”): This is the text displayed on the marketplace search pages. Requirement: Keep this between 40–50 words. Focus on the immediate value and the most important detail to encourage the user to click for more.
- Description: This is your full sales pitch. Provide a comprehensive breakdown of your service, including pricing structures, locations or technical details. There is no word limit here, so be as thorough as possible.
Tailored Contact Information
AvPay allows you to route leads to the most relevant person in your organization for every individual listing. You can fill in:
- Contact Name: The specific agent or department head.
- Phone Number: The direct line for enquiries.
- WhatsApp Number: Providing a WhatsApp number significantly increases engagement, as it allows international buyers to message you instantly.
Important Note on Enquiries: When a buyer clicks the “Message Seller” button on your listing, the enquiry is automatically sent to the primary email address associated with your AvPay membership. Please ensure this inbox is monitored regularly to ensure a rapid response to potential buyers.
Images: Featured vs. Gallery
Visual presentation is key to a professional listing:
- Featured Image: This is the main “cover” photo. It must be a high-quality representation of your service, as it is the first thing users see.
- Gallery Images: Use these to provide a deeper look. If you are a flight school, include photos of your facilities or instructors. If you offer a service, include brand logos or team photos to build trust.
Pro Tip: Always double-check your sub-category selection. If you don’t drill down to the final sub-category, your listing may be harder for users to find when they use our advanced search filters.
4. Media Management: Your Visual Library
The Media tab serves as the central repository for every image, brochure or video you have uploaded to AvPay. Managing this section effectively ensures your account remains organized and your storefront stays high-performing.

Viewing Your Uploaded Assets
In this section, you can scroll through all the visual assets currently associated with your account. This includes featured images for aircraft, gallery photos for services, and any branding logos you have utilized and uploaded yourself. You can click on any individual image to view it in full size or check its dimensions and file type.
Optimizing Storage Space
To ensure your “My Account” area remains fast and efficient, we recommend periodic maintenance of your media library. If you have aircraft that have been sold or services that are no longer offered, you can delete the associated images to free up storage space.
- Individual Deletion: Select an image you no longer require and use the delete function to remove it permanently from the AvPay servers.
- Bulk Management: For larger brokerages with hundreds of listings, keeping your media library lean helps ensure that your dashboard loads quickly and your most recent uploads are easy to find.
Best Practices for Media
- File Naming: Before uploading, name your files clearly (e.g., “2025-Cessna-172-Interior-n65tq-1.jpg”). This makes it much easier to locate specific images within the Media tab later on.
- Removing Duplicates: If you notice the same photo appearing multiple times in your library, delete the duplicates to maximize your available storage.
Important Note: Once an image is deleted from the Media tab, it is removed from all listings. Ensure an image is not currently “live” on an active advertisement before confirming the deletion.
5. Social Media Marketing: Your In-House Digital Agency
This section is the management hub for vendors subscribed to the AvPay Social Media Marketing Package. More than just a listing tool, this add-on transforms your aircraft data into a high-performance marketing engine, positioning your brand in front of the world’s most active aviation decision-makers.

Within this dashboard tab, active subscribers can view their current marketing status. Because this service involves a dedicated team of content creators and marketers working on your behalf, this area allows you to manage the administrative side of your premium add-on.

Pro Tip: Success in aviation sales is built on trust and authority. By maintaining a consistent, professional social presence, you ensure that when a buyer is ready to move, your brand is the first one they recognize.
6. Articles: Building Authority & Thought Leadership
The Articles section is a powerful tool for vendors looking to go beyond simple listings. By publishing news, market insights or event updates, you can establish your brand as a thought leader in the aviation industry while driving additional organic traffic to your AvPay profile.

Monitoring Performance
Just like your aircraft listings, every article you publish is tracked in real-time. On your Articles dashboard, you can monitor the total number of readers who have opened and read your content.
From this central dashboard, you have full control to Edit existing articles to keep them relevant or Delete content that is no longer required.
Creating Impactful Content
When drafting a new article, the form provides several fields to help you structure your message effectively:
- Article Title & Category: Choose a compelling title and assign it to the most relevant category, such as “Aircraft For Sale News,” “General Aviation News” or “Trade & Air Show News.” This ensures your content reaches the right audience segment.
- Article Description (The Content): This is your main body of text. To make your articles more engaging, you can insert images directly into the story by selecting the Add Media button. Breaking up text with high-quality photos or infographics significantly improves reader retention.
Search Engine Optimization (SEO)
To ensure your articles are found by pilots and buyers searching on Google, we provide built-in SEO tools for every post:
- Focus Keyword: Enter the primary term you want this article to rank for (e.g., “Pre-owned Cirrus Market Trends”). This tells search engines exactly what your content is about.
- Meta Description: This is the short snippet of text that appears under your title on a Google search results page. A well-written Meta Description acts as an advertisement for your article, encouraging users to click through to the AvPay website.
Pro Tip: Writing articles about the specific types of aircraft you sell can boost your views significantly. When a potential buyer searches for news on a specific model, your article and consequently your profile will be there to greet them.
7. Account Settings: Optimizing Your Digital Storefront
The Settings area is where you define your brand identity on AvPay. From updating your office location to ensuring your social media links look professional, these settings ensure your brokerage or business is presented accurately to potential clients.

Store & Profile Details
Your Store settings are the core of your profile. Here, you can update your company description, refresh your contact details, and upload branding images. Keeping this information current is vital for ensuring that buyers can reach the right department without delay.
Location & Payments
- Location: If you have moved offices or opened a new hangar, the Location tab allows you to update your physical address.
- Payment: To make your subscription renewals and add-on purchases seamless, you can connect your Stripe account here. This ensures uninterrupted service for your active listings.
Social SEO: Professional Link Sharing
When you share a link to your AvPay profile or a specific listing on WhatsApp, Facebook, or X (Twitter), those platforms “pull” data to create a preview. The SEO Settings allow you to control exactly what that preview looks like.
By entering a custom title and description here, you ensure that even a simple text message to a client looks like a professional advertisement, complete with your chosen branding and a clear call to action.
Services & Professional Gallery
In the Services tab, you can select the specific aviation capabilities your company offers, such as FBO Services, Aircraft Maintenance, or Aircraft Finance. To complement these services, we recommend adding a high-quality Gallery to your profile.
To add images to your gallery, follow these steps:

Steps to Create a Professional Image Gallery:
- Select the images you wish to feature from your media library.
- Order Your Visuals: In the “Edit Gallery” screen, drag and drop the photos into your preferred sequence.
- Configure the Layout: On the right-hand side under Gallery Settings, apply the following for the best visual result:
- Link To: None
- Columns: 2
- Size: Large
- Select Insert Gallery and then click Save at the bottom right of the screen.

Pro Tip: Setting your gallery to “2 Columns” and “Large” size ensures your profile looks balanced and professional on both mobile devices and desktop screens.
8. Profile & Membership Management
The Profile and Membership sections allow you to manage the administrative side of your account. Keeping these details accurate ensures that you never miss a lead and that your billing information remains up to date.

Personal & Account Details
Under the Personal tab, you can update the primary account holder’s information. It is crucial to ensure the email address listed here is correct, as this serves two vital functions:
- Lead Delivery: All enquiries made through your AvPay listings are sent directly to this address.
- Account Status: Membership renewal reminders and platform updates are sent here to help you maintain an active presence.
Address & Billing
The Address tab allows you to manage your Billing and Shipping addresses. Ensuring your billing address matches your payment method will prevent any processing delays during your subscription renewals.
Social Media Connectivity
In the Social tab, you can link your company’s external social media channels (such as LinkedIn, Facebook, and Instagram). Once added, these icons will appear prominently at the top right of your AvPay profile. This allows potential buyers to explore your brand across multiple platforms and builds additional trust through social proof.

Managing Your Membership Plan
The Membership tab provides a clear overview of your current subscription level. From here, you can monitor your plan’s features or make changes to your account status.
- Upgrading or Changing Plans: If you find you need more listing slots or wish to move to a different package, please note the process: You must cancel your existing membership plan first before selecting and activating a new one.
- Cancellation: You have full control over your subscription and can manage your cancellation preferences directly from this dashboard.

Pro Tip: Regularly check your Social links to ensure they are active. Linking to a vibrant, active LinkedIn or Instagram page can often be the deciding factor for a buyer choosing between two different brokerages.
9. Membership Invoices: Accessing Your Billing History
Managing your business records is streamlined through our secure payment partner, Stripe. If you have paid for your AvPay membership or premium add-ons via the platform, you can retrieve your historical invoices at any time for your accounting and record-keeping purposes.

How to Retrieve Your Invoices
To ensure the highest level of security for your financial data, your invoices are managed through a protected external portal. Follow these steps to access your documents:
- Access the Link: Click the Membership Invoices tab in your dashboard menu. This link will safely redirect you to our dedicated Stripe payment portal.
- Identify Your Account: Once on the Stripe page, you will be prompted to enter the email address associated with your AvPay account.
- Secure Email Verification: For your protection, Stripe does not display sensitive billing data immediately. Instead, they will automatically email a unique Access Link directly to your inbox.
- Download & Manage: Open the email from Stripe and click the secure link provided. This will take you to your personal billing area where you can view every payment made to AvPay, download PDF invoices and review your payment history.
Pro Tip: These secure links are time-sensitive. If you don’t click the link within a few minutes of receiving the email, you may need to go back to the Membership Invoices tab and request a new one.
This concludes the “Using My Account” guide. If you have any further questions regarding your dashboard, listing performance, or membership, please don’t hesitate to reach out to the AvPay Support Team.
